An artist operating in New York is seeking a highly organized, capable, and dynamic Studio Manager and Archivist. The artist’s practice encompasses a wide range of media including video, performance, installation, and drawing. Having practiced since the 1960s, she continues to exhibit extensively, with recent solo exhibitions at institutions including The Museum of Modern Art. This role entails a high level of administrative support, project coordination, and archive management for legacy planning purposes.
Key Responsibilities:Maintain the artist’s schedule and studio calendar, including production deadlines, exhibition dates, performances, lectures, travel, interviews, and photo shoots. Manage the studio email account, responding as appropriate and tracking correspondence.Participate in meetings and studio visits; prepare meeting notes, keep the artist apprised of action items, and follow up with external parties as needed.
Work with gallery liaisons to manage press requests (e.g. transcribing and editing the artist’s interviews for publication), gather and share research materials for curators and writers, facilitate image requests, artwork loans, production for exhibitions, contracts, shipping and transportation logistics, etc. Assist as needed with the development of new artwork, including preparing drawing supplies, organizing video footage, project-managing preparation for performances and complex installations, and occasionally managing part-time freelancers, editors, and fabricators.
Occasionally assist with handling and packing small objects like drawings for local transportation.Develop and maintain the studio’s database (Art Record) including drawings, sculptures, performances, videos, installations, notes and ephemera, and objects in the artist’s collection.Improve and maintain an inventory system for physical archives at the studio, including drawings, hard drives, 8mm and 16mm film reels, photographs, slides, notebooks, posters, etc. Oversee the digitization, duplication, and preservation of archival materials not previously inventoried.
Personal assistant duties may include organizing books, placing online orders for personal items, running errands, and managing appointments. Qualifications:Passion for contemporary art and an understanding of the art world ecosystem.5+ years experience in an Administrative/Executive Assistant, Project Coordinator, Studio Assistant, Archivist, or research-based position preferred.
Bachelor\'s degree in Art History, Studio Art, Design, Architecture, Arts Administration, History, Archives and Records Management, or related field is a plus.Flexible availability to work part-time hours which vary week by week depending on ongoing projects, the artist’s travel schedule, and other factors.
