Gallery Assistant

Duties• Serve as the “face of the gallery” when greeting visitors and clients at the front desk• Field deliveries and all enquiries about the gallery, its artists, and exhibitions• Answer/direct phone calls and take messages, following phone etiquette guidelines• Monitor general gallery email accounts and forward inquiries• Input and update contact information in the database and gallery mailing list• Sort and distribute incoming mail• Monitor and order office supplies and stationery• Maintain cleanliness of front desk area, offices, and kitchen• Assist departments with mailings and printing for clients• Manage and update artist CVs internally and on external platforms• Generate and update the exhibition binders for each gallery show• Update the master gallery calendar as needed• Assist in creating checklists and sales binders• Manage Artbinder• Assist various teams with special projects and events• Provide administrative support for exhibitions, both within the gallery and at large, for artists• Assist with scheduling, correspondence, and calendar management for the FoundersQualifications• Articulate and confident with a professional demeanor• Highly organized, detail oriented, and punctual• A team player; productive and capable in a fast-paced, high-pressure environment• Proficient with Mac OS and MS Office• Knowledge of FileMaker Pro/Artbase or Artlogic a plus• Previous work experience preferredScheduleFull-time role (40 hours per week)Tuesday – Saturday during the yearMonday – Friday during the Summer schedule
